4. How We Use Your Information

We may use your personal information for the following purposes:

  • To create and manage user accounts
  • To deliver platform functionality and services
  • To provide customer support and respond to inquiries
  • To analyze user behavior and improve the platform
  • To manage event registrations and communications
  • To process payments (if applicable)
  • To send optional promotional communications (opt-out available)
  • To provide AI-powered features securely via third-party APIs

5. Data Hosting and Storage

Our primary infrastructure is hosted on BCNET's EduCloud, a secure cloud service located in Canada. This ensures that the core platform data remains subject to Canadian privacy protections, including the Freedom of Information and Protection of Privacy Act (R.S.B.C. 1996, c. 165).

Some features may rely on third-party services that store or process data outside of Canada. We take steps to ensure these providers maintain comparable privacy standards.

6. Third-Party Services

We integrate with the following external service providers:

  • MongoDB Atlas – database hosting
  • Vercel – frontend hosting and deployment
  • Pinecone – vector database for AI search
  • Cloudflare R2 – secure file and asset storage
  • OpenAI API – natural language processing and AI features

These providers are subject to their own privacy policies. We encourage users to review them:

Note on AI Features: Prompts and interactions processed by the OpenAI API are not used to train OpenAI's models and are handled securely via API.

7. Disclosure of Information

We do not sell or rent your personal information. We may disclose information in the following circumstances:

  • With service providers acting on our behalf to deliver platform functionality
  • When required by law, regulation, or court order
  • In the event of a corporate restructuring, merger, or acquisition (with prior notice)

8. Data Retention

We retain your personal information only as long as necessary to fulfill the purposes outlined in this policy or as required by law. Users may request deletion of their data, subject to legal or operational constraints.

9. Your Rights

Under applicable Canadian privacy laws, you have the right to:

  • Access the personal information we hold about you
  • Request corrections or deletions
  • Withdraw consent for certain types of processing
  • File a complaint with a relevant privacy commissioner

To exercise these rights, please contact us (see Section 13).

10. Security Measures

We implement technical and organizational safeguards to protect your data against unauthorized access, loss, or misuse. While we strive for high standards of security, no internet transmission is ever 100% secure.

11. Cookies and Tracking Technologies

Our platform may use cookies or similar technologies to enhance your experience, analyze usage, and remember preferences. Users can adjust browser settings to manage cookie behavior. If required, a cookie consent banner will be presented upon first use.
